How the Consultation Process Works
- Draft policies are posted on this page during open consultation periods.
- You review the documents and submit feedback using the official form.
- The Policy Owner or Lead reviews all submissions.
- Relevant feedback is incorporated where it aligns with the policy’s goals, legal requirements, and university priorities.
- A summary of feedback received and changes made is shared with the Approval Authority.

Policy Feedback Expectations
We welcome all constructive input. Please ensure that your input is:
- Clear and relevant – focus on comments that relate directly to the policy being reviewed.
- Specific and constructive – provide examples or suggestions where possible to help improve the policy.
- Respectful and professional – feedback should aim to strengthen the policy and identify gaps or areas for improvement.
- Submitted on time – feedback must be provided within the posted consultation period; late submissions may not be considered.
Helpful questions to consider while reviewing a policy:
- Clarity – Is the purpose of the policy clear and easy to understand?
- Consistency – Does the policy align with the Policy Framework and other University policies?
- Operational impact – What effect might the policy have on students, faculty, staff, or University operations?
- Implementation – Are there communication, training, or resource considerations that should be addressed to support implementation?

To provide feedback on a policy open for consultation, please complete the Policy Feedback Form. Feedback submitted by email will not be accepted.
To submit a new draft policy for consultation or for any questions, please contact the Policy Office.
- How will my feedback be used?
All submissions are reviewed by the Policy Owner. Feedback that is relevant and constructive may be incorporated into the final version. A summary of input received (without identifying individuals) is provided to the Approval Authority. - Can I submit feedback anonymously?
Yes. The form allows anonymous submissions. - Will I receive a response to my feedback?
Individual responses are not provided due to volume, but we believe in closing the loop and will provide summaries of key themes from community feedback where possible, and how policies were improved as a result. These can be viewed in the policy history form posted with the final approved policy. - What if I need the policy in an alternative format?
