It is important to check your student email frequently to avoid missing important information and upcoming deadlines that may affect you. Algoma University sends communication memos and other relevant information to your AlgomaU email account only. 

Your designated Academic Advisor is your first point of contact dedicated to your academic success. For each academic program, academic advisors offer personal advice to help you develop a course progression plan and assist in resolving academic matters such as course selection, registration, and program changes. Your assigned Faculty Advisor will assist in selecting your courses in your upper years of your program. They will also provide you with specific information regarding research opportunities, professional designations, and certifications.

Success Advisors assist students in understanding University policies and procedures. They provide guidance on the code of conduct, academic dishonesty, grade appeals, etc. They also assist students in exploring their academic success and career plans and graduate school direction. At-risk students should connect with their Student Success Advisor to provide recommendations on resources available and create a student success plan.

Your Academic Advisor will provide you with a Program Audit sheet prior to your meeting. Please review it as it will indicate which courses are required for your program completion. You should be prepared with a list of the questions/concerns you would like to discuss with your Advisor. Make sure you have your Student ID card with you.

Once you have accepted your offer of admission, you will receive a welcome IT email to your registered personal email address with the University. It will contain a detailed explanation of how you can access your Student Portal. If you still have questions, please contact Service Desk.

Your student portal allows you to access your academic and financial summary. There are links to various forms and document requests. Please contact [email protected] to help you navigate your account.

Degree Students: Your Program Audit sheet provides a listing of your courses required for your program. Additionally, you can refer to the Academic Calendar for full program requirement details. At any time you need assistance, you can book an appointment with your Academic Advisor, or your Faculty Advisor if you are in your upper year.

Graduate Certificate (GCERT) Students: Please review the Certificates page and select your program of study to view your schedule of courses.

Please refer to the Registrarial Calendar for important dates and deadlines pertaining to course selection. Your Academic Advisor will also email you with course selection dates so it is important to always read your emails. In order to ensure you are fully registered in all of your courses, please complete registration once it opens to avoid courses reaching capacity.

No. All fees must be paid prior to registration. Please reach out to [email protected] for any fee information and deadlines.

You can request to be on the waitlist for a course for only one section if there are multiple sections. Should space open, the next student in que will be notified through email that a spot has opened. You will have 24 hours to register yourself in the course before the spot reserved for you expires. If you are already in a maximum course load (15 credits) you will need to have approval before adding the additional course to your registration

With the self-service option in your student portal, you can easily make changes to your course schedule. You can also view the Registration Help tutorial here.

  • From your portal, please select ‘Course Catalog’ and review the available courses/sections for a specific department/faculty
  • Select the courses, view available sections > Add section to schedule > Add section 
  • Repeat step 2 until you have selected all your desired course 
  • The selected courses will appear on your ‘Student Planning’ on the home page 
  • Your selected courses will appear on the right side with timings and will be color coded
  • If the course is ‘green’, it is the correct course. If the course is ‘red’, you either have a conflict in the course timings
  • For courses in red, click on ‘View other sections’ and check the availability of the course in your timetable. 
  • Choose the one that suits your needs and does not have a conflict 
  • Do not forget to click on the ‘Register’ icon to finalize your registration for a single course or ‘Register Now’ for all courses planned. 
  • Once your registration is complete, your courses will appear on your timetable 

Yes, completing beyond 15 credits (5 courses) is considered a Course Overload. GCERT students please connect with [email protected] to add your course overload request while Degree students can connect directly with their Advisor. We will only begin reviewing and processing overload requests approximately 3 weeks after course registration opens. In order to be approved, you must meet the following criteria:

  • In your final year of study
  • Good academic standing 
  • No failures in the previous semester

You may be charged a non-refundable tuition deposit for a full course withdrawal. Please refer to the Refund Policy here.

In order to be considered for a Program Change, the following steps should be followed:

  • Meet with your Academic Advisor to discuss your program change plan
  • Your Advisor will determine whether you are eligible for the program change or not
  • If the request is to change between departments, you will have to reach out to the admissions team
  • If the request is related to changing within the same program such as program length update or adding/dropping a specialization, your advisor will guide you through. 

 

We encourage you to schedule a meeting with your Advisor to discuss your options. Should you be granted a Program Change, your advisor will work with you to build a new audit sheet or update the current one. Please note that this might affect your length of study and also transfer credits that may have been awarded.

There may be situations where a course is not offered in a semester but it is required for you to graduate. We recommend that you book an appointment with your Academic Advisor and let them know about the required course not being available

  • Your Advisor will assess your Program Audit sheet to check your academic progression and if you are coming back for another semester. They will evaluate the necessity of the course in that particular semester and suggest relevant course options
  • If the course is absolutely necessary for you to graduate, your advisor will work with the faculty department to determine if a course substitution is possible 
  • If a course substitution is not possible, a reading course might be possible as a last resort. The faculty advisor and the department chair will be consulted on the possibility. 

This is strictly prohibited and you will be withdrawn from the course immediately if the courses are scheduled at the same time. If the add/drop deadline has passed, you will be withdrawn regardless of academic or financial penalty. It is your responsibility to double check the schedule on your student portal and report any discrepancies before any registration deadlines.

Once your grades are updated on your student portal, you can submit a formal grade appeal. The process can be found on the Policies and Procedures website under the Student Category. Please connect with [email protected] for guidance on the appeal process.

  • In-Person Instruction:  class that meets in a classroom and/or laboratory at the scheduled time/day, with the instructor and all students present (synchronous).
  • Remote Synchronous Instruction: The instructor teaches using meeting technology (e.g. Zoom, Google Meet) at a scheduled time (from a classroom or other location), with students attending and participating remotely only. Students will complete some of the learning objectives via asynchronous means, including completing additional readings, videos and/or assignments and/or viewing pre-recorded lectures
  • Asynchronous Instruction: The course materials – lectures, videos, assignments, assessments, discussion boards, etc. – are prepared prior to course delivery, and which students  complete on a more flexible schedule (asynchronous).
  • Hybrid Instruction (also called “HyFlex”): The instructor is present in the classroom at the scheduled time/day, with students present who wish to attend in person, and students who prefer not to attend in person participating remotely at the same time (synchronous). The student makes the choice for any given class and can switch as needed. Requires additional support for content preparation, technology and class management

The Student Success & Wellbeing team offers a variety of support services both in and outside of the classroom. The Learning Centre consists of Accessibility Services/Writing Lab/Math Lab/Peer Tutoring/Learning Strategies/Assistive Technology. Students with a disability can email [email protected] to begin the process of registering with Accessibility Services and accessing accommodations.

Academic probation is the academic standing assigned to you if you have not satisfied the program requirements for continuation of study, based on the academic average and/or number of failed courses, but have been given the opportunity to continue in the program for a defined period of time. You will be placed on Academic Probation if you:

  1. Fail more than 6 credits in an academic year or in a sequence of credits.
  2. Do not maintain a minimum average of 60% on passed courses required for the major or an overall average of 60% on passed courses in an academic year or in sequence of 30 credits.

Academic Probation is a warning status that you will be at risk of being required to withdraw.

Once you achieve a minimum cumulative average of 60% and within the required number of failed courses, you will have the Academic Probation status removed by the Registrar’s office.

 

Must withdraw from the university is the academic standing assigned to students who have not satisfied their program requirements for a continuation of study. Your suspension will be for three semesters. If you are requesting readmission you must apply to the Academic Regulation and Petition Committee for re-entry to the university and provide a Letter of Support from the Dean of the Faculty that you are attempting to register for.

A transcript is an official document prepared by the Registrar recording a student’s courses, grades, and degree designation. Students must have met all financial obligations to Algoma University before official transcripts can be released.

No.  You must request a course change before the last day to withdraw before academic penalty as seen in the Registrarial Calendar of Dates.

The financial/refund deadline is different from the Withdrawal deadline as the former is processed by the Accounts department and the latter by the Registrar’s Office. Please review the refund deadlines carefully on the Refund and Payment options website

If you require additional information please speak to your Academic Advisor before requesting a withdrawal and to [email protected] regarding the refund.

Example:
A course previously labeled as 001 will now appear as F01 for a Fall offering.

Enrolment Categories

Full-time: A full-time student is one who registers in more than 70% of the normal full course load of 30 credits (i.e. more than 21 credits) per fall/winter session, or 10.5 or more credits per term.

Part-time: A part-time student is one who registers in less than 70% of the normal full course load of 30 credits (i.e. 21 credits or fewer) per fall/ winter session, or less than 10.5 credits per term.

Please consult with the Immigration Advising team prior to dropping from a course. Please ensure you are following the Schedule of Dates. International students must be registered as full-time students each semester unless otherwise determined by the Immigration team.

The final exam schedule is posted on the Exam Schedules and Policy website usually one month before the dates of examination. It is regularly updated so you are advised to check the schedule regularly.

To appeal your final grade, please review the Academic Grade Appeals Policy. You would need to contact the Instructor of the class within 15 days of the posting of the final grade. Following this, a meeting with the Instructor is involved. You may contact Student Success & Wellbeing for guidance on this appeal process.

The Registrar’s Office releases a deferral exam date each semester to provide you an opportunity to request an exam deferral based on certain circumstances. The date and the process of how to request a deferral is communicated to all students by a memo sent out by the Office of the Registrar before the examination start date. In order to be considered for a deferred exam, you must submit a complete application with supporting documentation.
